TowingBossPro Blog — Impound & Storage

Recording Year, Make, Model, Color, Plate and VIN on Every Impound

"I'm calling about my car." Every lot hears it a dozen times a day, and the next question is always the same: which car? The answer is only fast if the record has the details that the owner knows and you can search.

After Adding Storage Days to the Invoice So Nothing Goes Unbilled, you have storage days billing correctly. None of that matters if you cannot match the right car to the right owner. That match starts with vehicle details.

The Six Fields That Matter

TowingBossPro stores vehicle details on every call: year, make, model, color, plate and VIN. Each one does a different job.

Capture Them at the Pickup

The driver is standing next to the car at the pickup. That is the moment to get the details right. Plates go missing between a parking lot and a storage lot more often than you would think, and a VIN is much easier to read in daylight at the curb than in the back row of the yard at night.

If the call came in from a police or property manager account, some of the details may already be on it. The driver confirms them against the actual vehicle. When what is on the call does not match what is on the ground, that is worth a note, because it is exactly the kind of thing that turns into a dispute later.

A good habit is to read the plate and the VIN out loud to yourself while typing them, then check them once against the photos before leaving the pickup. It sounds silly. It catches the transposed digits that otherwise surface three weeks later when an owner's paperwork does not match your record.

Missing Plates and Hard-to-Read VINs

Some cars show up with no plate, a paper tag, or a plate that does not belong to the vehicle. Some VINs are behind a cracked windshield or a dashboard covered in stuff. Record what you can see and note what you could not. A photo of the VIN plate and the license plate from the driver app is often more useful than a typed string with a typo in it.

TowingBossPro records the details you enter; it does not decode VINs or look up registrations for you. Your team still reads the numbers carefully, and if your process requires checking ownership through official channels, that happens outside the software.

Use the Details to Find the Car

When the phone rings, the office should be able to search the call records by what the caller knows. Most will give you a color and a make before anything else. Some will have the plate. A tow company that can say "silver Accord, plate ending in 47, came in from the Willow Creek complex at 2 a.m., yes, it is here" in under a minute sounds like a business that knows what it is doing.

Details Protect You at Release

Release is the other place details earn their keep. The person picking up a vehicle should be able to describe it and show they are entitled to it under your policy and local rules. Matching what they tell you to the plate and VIN on the record is a simple check that stops the wrong car from going to the wrong person, which is a mistake no towing company wants to explain.

Make Complete Details the Standard

Set the standard that a stored vehicle is not complete until its details are. Review new drops each morning for missing fields, and send them back to the driver while they still remember the car. Drivers pick up the habit fast when they see the office actually checks.

Complete details turn a lot full of cars into a lot full of records you can search, bill and release with confidence. Read how it all fits on the Impound & Storage Software page. Next, the photos that go with those details.

Color deserves a special mention because it is the field people skip. Dispatch writes "Silverado" and moves on. Then the yard has two Silverados and the owner says "mine is the white one." Five seconds at the pickup saves ten minutes walking the rows.
