Switching Towing Business Software Without Missing a Call
Switching software scares most tow company owners more than it should. The fear is simple: the phone does not stop ringing while you change systems. Miss a call during the switch and it goes to the next company on the list.
The good news is that a switch does not need to be a big bang. Done in stages, it can happen during a normal week without anyone on the road noticing much beyond a new app on their phone.
Decide Why You Are Switching
After working through What Towing Business Software Should Cost: Per-User vs Flat Pricing, you may have realized your current system costs more than it should or does not fit how you work. Before you switch, write down exactly what is wrong. Is it the dispatch screen? The driver app? Per-user charges? No storage billing? No commercial account handling?
That list becomes your test. When you try the new system, check each item. If it does not fix the problems you are leaving for, there is no reason to switch.
Be honest about which problems are the software and which are habits. If drivers never filled out tickets in the old system, they may not tap complete in the new one either unless you set the expectation. A switch is a good moment to reset habits, but only if you plan for it. Write down the two or three habits you want to change along with the software.
Pick a Quiet Window
Every tow company has slower stretches. Maybe it is a weekday in a mild month, maybe it is mid-week mornings. Pick one of those to start. Do not switch the week before a holiday weekend or when a storm is forecast.
You do not need a long quiet window. A couple of days to get set up and train people is usually enough, and you can run both systems for a few days after that.
Tell your commercial accounts ahead of time if anything they see will change, like the look of invoices or the texts they receive. A short heads-up keeps an account from wondering whether a new-looking invoice is legitimate, and shows them you are improving how you serve them.
Move Your Data in the Right Order
Do not try to move everything. Move what you need to work tomorrow.
- Customers and commercial accounts first, by CSV import.
- Your rates and categories next, so new calls price correctly.
- Vehicles currently in storage, with their start dates, so the daily rate keeps counting.
- Open invoices last, so you can keep following up on what you are owed.
Closed history can stay in the old system or an export for reference. You rarely need two-year-old calls in the new one.
Train Dispatch and Drivers Separately
Dispatchers and drivers need different training. The dispatcher needs to learn the Waiting List, how to assign calls to a driver and truck, and how to work the dispatch board by truck and day. The drivers need to learn the app: calls in order, pickup and drop-off, vehicle details, notes, start and complete, photos, and the on-the-way and arrival texts.
Keep driver training short. Ten minutes in the yard with one practice call is better than an hour in the office. Show them the one or two things they will do every call and let them learn the rest on the road.
Pick one person to be the go-to for questions during the first week, usually whoever learned the system fastest. Drivers will have small questions on the road, and it is better for them to text one person than to guess or give up and go back to paper.
Run Both Systems for a Few Days
For the first few days, put every new call in the new system, but keep the old one open for lookups. If a customer calls about an old invoice, you can still find it. If something goes wrong in the new system, you have a fallback.
Set an end date and stick to it. Once the new system has handled a few busy stretches without trouble, stop entering anything in the old one. Running two systems for weeks just doubles the work.
After the Switch
The first two weeks will show you what to clean up. Maybe some customers came over without phone numbers. Maybe a rate needs adjusting. Fix those as they come up.
Then start using the parts your old system did not have: the customer app with the live driver map, card on file, auto-billing, reports. That is where a switch pays for itself. To see what a full system looks like, start with the towing business software overview.
Give it a month before you judge the switch. The first week always feels slower because everyone is learning. By week three, most companies are faster than they were in the old system, and by the end of the month nobody wants to go back.
