Vehicle Details on Every Tow Call: Year, Make, Model, Color, Plate and VIN
A driver pulls into an apartment complex at 2 a.m. to pull a car for the property manager. There are four gray sedans in the fire lane. Which one? Or a driver gets to a body shop to pick up a car for the dealer, and the shop has three of the same model in the lot. Without the vehicle details, the driver is stuck on the phone. With them, the driver checks the plate and goes to work.
Vehicle details are some of the cheapest information to collect and some of the most expensive to be missing.
The Minimum on Every Call
The two addresses in Pickup and Drop-Off: Why Every Tow Call Needs Two Addresses tell the driver where to go. The vehicle details tell the driver what to hook. In TowingBossPro each call carries the year, make, model, color, plate and VIN, and all of it shows in the driver app next to the pickup and drop-off.
On a roadside breakdown, year, make, model and color are usually enough because the customer is standing next to the car. On anything where the owner is not present, such as an impound, a transport, a dealer pickup or a property manager call, the plate and VIN are what keep you from hooking the wrong vehicle.
How Vehicle Details Pick the Truck
Vehicle details are also a dispatch tool. A dispatcher reading "compact sedan" and one reading "one-ton dually with a camper" send different trucks. Make and model hint at weight, drivetrain and ground clearance, which help decide whether a light-duty flatbed, a wheel-lift or a heavy-duty unit should go. Ask follow-up questions when the model alone does not tell you: is it lifted or lowered, is it loaded, is a trailer attached?
When the details are on the call, the dispatcher can make that judgment before assigning, instead of finding out from the driver on scene.
Plate and VIN on Impounds and Transports
Impound and storage calls depend on getting the right vehicle and keeping a clean record. The plate and VIN on the call tie the tow to the vehicle that is now sitting in your yard with a storage start date and a daily rate. When the owner calls asking whether you have their car, the office can search and answer.
Dealer and body shop transports are the same. The account wants to know that the specific unit they asked for got moved. Plate and VIN on the call, plus vehicle photos from the driver app, give them that.
It also matters later. When the owner shows up at the yard with the registration in hand, the office can match the plate and VIN on the call against the paperwork in seconds. Nobody walks the lot looking for the right car.
Vehicle Photos at Pickup
The driver app lets drivers take vehicle photos that attach to the call. A few photos at pickup showing the condition of the car protect you if a customer later claims damage. Photos at drop-off show where and how the vehicle was left. Get in the habit of all four sides plus any existing damage, especially on impounds, transports and anything going into storage.
Photos also help the office. When a body shop asks whether the bumper was already cracked, the answer is on the call.
Getting the Details Without Slowing the Call
Call-takers sometimes skip vehicle details because the caller is stressed and the line is busy. Keep it quick: "What are you driving, and what color is it?" covers most of it in one question. Plate and VIN can come by text after the call if the customer can snap a photo of the registration or the dash. On commercial accounts, ask the account to send them with every request so it becomes routine.
For calls you get in batches, such as a dealer sending a list of units to move, CSV import can load customer and location records so the call-taker spends less time typing.
Details the Driver Can Trust
When every call has the vehicle details filled in, drivers stop calling the office to ask which car, and they stop guessing. That trust is what makes the driver app the place they look first. The next guide moves from a single call to a truck's whole day: putting calls in a route order that does not zigzag across town.
