Dropping at the Impound Lot: Driver App Habits That Keep Storage Records Clean

Storage revenue lives or dies on records. If you cannot say when a vehicle came in, what it was, and what condition it was in, you will end up arguing about the bill, and you may lose. Most of those records start with the driver, at the moment the vehicle comes off the truck at your lot.

Heavy-Duty Tow Calls in the Driver App: Details That Decide the Truck looked at heavy calls. This article is about the end of many calls, light and heavy: the drop at your own lot.

How Storage Works in TowingBossPro

Impound and Storage is its own category. A vehicle in storage has a storage start date and a daily rate, and the storage days are added to the invoice. That means the start date drives the bill.

If the start date is wrong, the invoice is wrong. If it is a day late, you lose a day of storage. If it is a day early, you have charged the owner for a day you should not have, which is the kind of thing that turns into a complaint.

Most storage disputes are not about the daily rate. They are about the count of days. A start date that matches when the vehicle actually arrived, backed by a completed call and arrival photos, ends that argument before it starts.

Complete the Drop When It Happens

The driver's most important job at the lot is to tap complete when the vehicle is actually down and parked, not an hour later from the next call. Complete is the signal that the vehicle is in, and the office uses it to set storage correctly.

If a driver forgets and taps complete the next morning, the record is off. A simple rule helps: the straps do not go back in the box until complete is tapped.

Dispatch benefits too. A complete tap at the lot tells the office the driver is free, which on a busy night is exactly when they need to know. A driver who drops and leaves without tapping looks busy on the board for no reason.

Photos on Arrival

A walk-around at the lot shows the vehicle's condition at the start of storage. Combined with the before-hookup photos from the pickup, that gives you a full picture: condition when you took it, condition when it arrived.

Vehicles can sit on a lot for a long time. When the owner finally comes to pick up and says there is a new dent, those arrival photos are the answer.

Vehicle Details Must Be Right

On a lot full of vehicles, the vehicle details are how the office finds the right one. Year, make, model, color, plate and VIN should all be correct on the call before the vehicle goes into storage. If the driver found a different plate or color than the call said, correct it now.

Where your lot uses stall or row numbers, note where the vehicle was parked. Whoever releases it later will thank you.

Keys are the other loose end. If the keys came with the vehicle, note where they went: the key box, the office, left in the vehicle. A release that is held up while someone hunts for keys is a bad experience for an owner who is already unhappy about paying storage.

Access and After-Hours Drops

Many impound drops happen at night. The access notes for your own lot, like the gate code, where to park new arrivals, and where keys go, should be in the system for every driver, especially newer ones and fill-ins.

A driver who has to call the owner at 2am to ask where to put a car is a driver who did not get the notes.

Treat your own lot like any other location with access notes. Write it once, keep it current when the gate code changes, and every driver, including the new hire on their first night call, has the same instructions.

The Rules Around Impound

Impound and storage are regulated in many places, and rules vary widely: notices, fees, how long vehicles can be held, and what records are required. TowingBossPro tracks storage start dates, daily rates and the invoice; it does not handle lien, title or auction processing. Check your local requirements and handle those steps the way your jurisdiction requires.

What the driver controls is the quality of the record at the start: right vehicle, right time, right photos. Everything downstream is easier when that is clean.
