Moving Tow Drivers Off the Radio Chatter and Group Text

A lot of tow companies still dispatch the way they did twenty years ago: a radio in every truck, a group text for anything that does not fit on the radio, and a dispatcher keeping the whole day in their head. It works, sort of. It also means every address is read aloud, every driver hears every call, and the only record of the day is the dispatcher's notepad.

Writing Call Notes the Next Tow Driver Can Actually Use was about notes. This article is about the bigger shift: moving the routine parts of dispatch off the radio entirely.

What the Radio and Group Text Do Badly

The radio is great for urgent, live coordination. It is terrible for anything that needs to be written down. Addresses, plate numbers, VINs and drop-off instructions get misheard, mis-scribbled or forgotten.

Group texts have the opposite problem. They are written, but they are a mess. Calls get buried under replies, nobody knows who took what, and the customer's details end up on every driver's personal phone.

Neither creates a record of the call that can be invoiced, searched or reviewed later.

And both depend on the dispatcher's memory to hold it together. When that dispatcher is out sick, the replacement starts the day blind.

What Moves to the App

The routine information moves to the driver app: pickup, drop-off, vehicle details, notes, and the order of calls. In TowingBossPro, the dispatcher assigns calls from the Waiting List map to a driver and truck in one step, and they show up on the driver's list.

Status moves too. Start and complete taps replace "where are you at?" on the radio. Customer updates move to one-tap on-the-way and arrival texts and to two-way texting through the office.

The customer's details stay in the system instead of in a group text on six personal phones. When a driver leaves the company, they do not take your customer list with them.

What Stays on the Radio

The radio should stay for what it is good at: urgent coordination, scene updates, "I need a second truck here," and anything where a live conversation is faster than a written one. The goal is not silence. The goal is that the radio is used for things that matter, so drivers actually listen when it crackles.

Many companies find that radio traffic drops sharply once the routine stuff moves off it. Drivers stop tuning it out, and the urgent calls get heard the first time.

Making the Switch

Do not switch everything overnight. Start with one or two trucks running fully on the app for a week, with the radio as a backup. Fix the problems they find, like missing drop-offs or vague notes. Then roll it to every truck.

During the switch, the dispatcher has to commit. If calls still go out on the radio first and in the app later, drivers will ignore the app. The call goes in the app first; the radio is for urgent heads-ups only.

Pick a switch date, tell every driver, and stick to it. After that date, a call that is not in the app is not a call. That rule feels strict for a week and then becomes normal.

Common Objections

Drivers say the radio is faster. For a single address, maybe. But they are not reading addresses back, scribbling them down or calling to confirm. Across a day, the app is faster.

Dispatchers say they lose track of trucks without the radio. Start and complete taps show where every call stands on the board. Combined with the Scheduled list by truck and day, that is a clearer picture than a mental map.

Owners worry about cost per driver. TowingBossPro is never billed per user, so every driver has the app.

What You Gain

A record of every call that can be invoiced, searched and reviewed. Fewer misheard addresses. Customers who get updates without calling. A dispatcher who spends time on new calls instead of reading addresses aloud.
