Handling Busy Nights and Weekends in a Towing Business
Towing does not keep office hours. Friday and Saturday nights, holiday weekends, the last few days of the month when everyone is driving to visit family. Those are often the busiest times of the week, and they are exactly the times when most owners want to be home.
Busy nights are not as big as a storm, but they happen every week. If you do not have a system for them, they will slowly wear you down.
Know When Your Busy Times Are
The storm plan in A Storm and Bad-Weather Plan for Your Towing Business covers the big events. Busy nights are the regular surges. Start by figuring out when they happen. Look at your calls by day and time over the past few months. You will probably see a pattern: certain nights, certain weekends, certain times of the month.
Once you know the pattern, you can plan for it instead of reacting to it. That means having the right number of trucks and the right people on the phone when the calls come.
Local events matter too. Concerts, games, holidays and festivals can all bring spikes. Keep a simple list of the dates that were busy last year, and check it when you plan the schedule.
Set Up an On-Call Rotation
If the owner is on call every night, the owner burns out. Build a rotation so drivers share the night and weekend calls fairly. Make it clear who is on call, when, and what the expectations are for response time.
Fair rotations help keep good drivers. Nobody wants to be the one stuck with every Saturday night. Pay or a premium for on-call nights helps too.
Put the rotation where everyone can see it, well ahead of time. Drivers need to plan their lives, and a rotation posted a day before the weekend leads to swaps, missed shifts and frustration.
Cover the Phone
At night, the phone is often the weak spot. If the driver on call is also answering the phone, he will miss calls while he is hooking a car. Some companies have a dedicated night dispatcher. Others have the owner or a family member take calls from home.
Whoever answers needs to get the call into the system quickly, with the pickup, drop-off and vehicle details. Once it is on the Waiting List, it can be assigned to the driver and truck right away, and the driver sees it in the app without a separate phone call.
Make sure whoever covers the phone knows your rates, your service area, and what you do and do not handle. A night caller who gets a confident answer stays on the line. One who hears "let me check and call you back" often hangs up and calls the next company.
Keep Dispatch Simple at Night
At 1 a.m. nobody wants to fight with software. Night dispatch should be quick. See the call on the map, see where the on-call trucks are, assign it, done.
In TowingBossPro the Waiting List shows calls on a live map, and the dispatch board shows each truck's calls in route order. Selecting calls and assigning them to a driver and truck takes one step. The driver gets the call in the app with everything he needs.
Let Automation Do the Talking
At night, customers are often waiting alone on the side of the road. They want to know someone is coming. On-the-way and arrival texts from the driver app reassure them without anyone making a phone call. Customers can watch the live map of the driver on the way in the customer app.
Automated texts and emails also handle invoice delivery, so the customer gets their invoice and can pay online without waiting for the office to open Monday morning.
Clean Up Monday Morning
After a busy weekend, spend some time Monday cleaning up. Check that every call was completed, every vehicle in storage has its start date, every invoice went out, and every payment was recorded.
Then look back at the weekend. Did you have enough trucks? Did calls wait too long? Did anyone get stretched too thin? Use what you learn to adjust next weekend. That habit of looking back is exactly what the next guide is about: knowing your numbers. More on the full system is on the towing business software page.
Pay attention to your people, not just the numbers. A driver who ran every call all weekend may need a lighter Monday. Burnout builds quietly, and busy weekends are where it starts.
