Getting Paid Faster in a Towing Business: Card on File, Online Payments, and Auto-Billing

In towing, the work is done the moment the vehicle is dropped off. The money, too often, is not. Invoices go out days later. Accounts pay when they get around to it. Cash customers say they will pay online and never do. Every day between the drop-off and the payment is a day your money is working for someone else.

Getting paid faster is one of the easiest ways to improve a tow company's cash flow, and it does not require more calls. It requires a tighter process.

Invoice the Same Day

After setting up a weekly review, as covered in The 30-Minute Weekly Review for a Towing Business Owner, unpaid invoices are probably the first thing that jumped out. The biggest delay is usually the invoice itself. If invoices go out at the end of the week, you have added up to seven days before anyone even sees a bill.

Invoice as soon as the call is completed. When the driver marks the call complete in the app, the call already has the pickup, drop-off, vehicle details and photos. Turning it into an invoice should take moments, not a stack of paperwork at the end of the week.

Same-day invoicing also cuts down on disputes. A customer who gets the bill an hour after the tow remembers exactly what happened. One who gets it a week later has had time to forget the details and start wondering whether the charge is fair.

Make Paying Easy

The easier it is to pay, the faster people pay. Customers should be able to pay from their phone in a minute, from the invoice they just received.

TowingBossPro invoices can be paid online, and customers can see their invoices and pay in the customer app. Automated texts and emails deliver the invoice, so the customer has it before the driver is back in the yard.

Think about how your customers actually live. Most people pay bills from their phone. A check in the mail or a call to read a card number over the phone feels outdated, and people put off things that feel like a hassle. A pay button on the invoice removes the excuse.

Keep Cards on File

For repeat customers and commercial accounts, a card on file removes the payment step entirely. The call is done, the invoice is created, and the card is charged. No chasing, no waiting for a check.

Ask regular customers and accounts if they would like to keep a card on file. Many prefer it because it means one less thing to deal with. Customers can manage their card on file in the customer app.

Have your drivers or dispatcher mention it at the right moment. After a smooth tow, a customer is more open to the idea. Something as simple as "want us to keep a card on file so next time you do not have to deal with it?" works well.

Auto-Bill Your Regular Accounts

Some accounts send you work regularly. Rather than billing each one by hand, auto-billing charges the card on file when invoices are due. It works especially well for accounts that use you often for transports or light-duty tows.

Auto-billing keeps the money coming in steadily without anyone remembering to run the charge.

Agree on the terms with each account up front, so auto-billing never comes as a surprise. Accounts that know exactly when and how they will be charged are happy to have it handled. Accounts that find unexpected charges on their card are not.

Let Follow-Ups Chase the Rest

Not everyone pays right away. Payment follow-ups send reminders on unpaid invoices, so you do not have to remember who owes what or make awkward phone calls for every overdue bill.

Save your personal phone calls for the big balances and the accounts that matter most. Let the automated follow-ups handle the routine reminders.

Check your follow-ups in your weekly review. If certain customers or accounts always pay late, consider requiring a card on file or payment before release for them. Your terms should match how people actually pay, not how you hope they will.

Collect Storage Before Release

Storage is a common place for payment problems. A vehicle has been in the yard for two weeks, the bill is significant, and the owner wants it back. Make sure the invoice with the daily storage rate is ready before they arrive, and collect before the vehicle leaves.

Letting a vehicle go with a promise to pay is one of the most common ways storage money disappears. Getting paid faster is a big part of managing cash flow, which the next guide covers in more detail. More on billing is on the towing business software page.
