Invoicing a Tow the Moment the Vehicle Is Dropped
In a lot of towing companies, invoicing is a Friday afternoon job. Somebody sits down with a week of call sheets, tries to read the handwriting, figures out who to bill and types up invoices for tows customers have already started to forget. The later the invoice, the slower the payment — and the more likely a call never gets billed at all.
In Estimates With Online Approval for Transports and Recovery Jobs, we covered pricing big jobs up front. This article covers billing every job, big or small, at the end.
The Cost of Late Invoices
A late invoice costs you in three ways. First, the money arrives later, which matters for a business with fuel, insurance and truck payments due every month. Second, customers are less willing to pay for a tow they barely remember. Third, and worst, some calls never get invoiced at all because the call sheet got lost or the driver forgot to turn it in.
Small jobs suffer the most. A lockout or a jump start that didn't get invoiced on the day it happened rarely gets invoiced later.
Late invoicing also hides problems. If the week's billing happens on Friday, a call that went wrong on Monday — a wrong drop, a damage complaint, a customer who expected a different price — surfaces four days late, when everybody's memory has faded. Billing the same day means problems surface the same day, while the driver still remembers the call and the customer is still easy to reach.
Invoices Built From the Call
In TowingBossPro, a completed call becomes an invoice. Everything the invoice needs is already on the call: the customer or account, the pickup and drop-off, the vehicle details and the service. Nobody retypes it from a call sheet, so the invoice matches the job.
That's the real reason to invoice from the call record. It isn't just faster — it removes the transcription errors that cause disputes. The plate on the invoice is the plate the dispatcher entered and the driver confirmed.
Make Complete the Trigger
The simplest rule for a towing office: when a call is marked complete in the driver app, it becomes an invoice that day. The driver taps complete at the drop-off, the office sees it on the board, and the invoice goes out while the customer still remembers your driver's name.
For private customers, that might mean the invoice is in the customer app before they get home. For accounts, it means the invoice is under the account and ready when they reconcile.
Have someone check the board at the end of each day for calls that were finished but not marked complete. In the first weeks, there will be a few. The driver forgot the tap, or the call ended at your yard and nobody closed it out. Catching them daily keeps the habit honest and keeps calls from slipping through the cracks the way they used to on paper.
Sales Tax, Storage Days and Extras
Invoices need to handle more than a flat tow price. TowingBossPro applies sales tax on invoices where it applies — what's taxable depends on where you operate, so check your state and local rules. Vehicles that went to storage carry a storage start date and a daily rate, and the storage days get added to the invoice when it's time to bill.
If the job had extras — extra time on a recovery, a second trip — add them as separate lines with a short explanation. A clear invoice gets paid faster than a single large number with no detail.
Getting Paid Without Chasing
An invoice that goes out the same day is only half the job; it still has to be paid. Customers can pay online through the customer app, and repeat customers or accounts can keep a card on file. For accounts set up for it, auto-billing charges them without anyone in the office lifting a finger.
Payment follow-ups take care of the rest, sending reminders on invoices that sit unpaid. Your office stops being the collections department and goes back to running the business.
Know What You're Owed
When every call becomes an invoice, your reports actually mean something. You can see what came in today, what's still outstanding and which accounts are slow to pay. That's a very different picture from a shoebox of unbilled call sheets.
Same-day invoicing is one of the simplest changes a towing company can make, and one of the most valuable. For how invoicing connects to dispatch and the driver app, see the towing software overview.
