The Waiting List: Seeing Every Open Call on a Live Map

Every dispatcher has a version of the same pile: call slips clipped to a board, sticky notes on a monitor, a notepad with crossed-out lines. It works when there are four open calls. It falls apart when there are fourteen, the phones are still ringing and two drivers are asking what is next at the same time.

In Recording Year, Make, Model, Plate and VIN on Every Tow, we covered the vehicle side of a call record. This article is about where those calls wait before they belong to a truck.

A List Doesn't Show Distance

A list of open calls tells you how many there are and maybe when they came in. It doesn't tell you which ones are next to each other, which one is on the far edge of your area, or which one sits right on the route of a truck that is already out. A dispatcher can figure that out from addresses, but only by doing the map in their head, call by call, while answering phones.

That mental mapping is exactly what breaks down under load. It is why the truck that just cleared on the north side gets sent south, while a call two blocks from where it was sits for another forty minutes.

Calls as Pins

In TowingBossPro, incoming calls go to a Waiting List shown on a live map. Each open call is a pin at its pickup location. At a glance, dispatch can see clusters, outliers and gaps. A bunch of calls along one corridor jumps out. So does the lonely call out by the county line that needs a plan of its own.

Because each call also has its drop-off address, it is easy to think about where a truck will end up after a tow — which is often more useful than where the pickup is.

The map also catches bad addresses early. A pin that lands in the middle of a field, or in the right road name but the wrong town, is obvious on a map in a way it never is on a slip of paper. The dispatcher can call the customer back while they are still standing next to the car, instead of finding out when the driver radios in from an empty lot.

Circle Calls and Assign Them

The map isn't just for looking. You can circle a group of calls on the map, or select them, and assign them to a driver and truck in one step. A dispatcher who sees four calls in the same shopping district can hand all four to one rollback in a few seconds instead of creating four separate assignments.

Once assigned, those calls leave the Waiting List and show up on the dispatch board under that truck and day, and in the driver's app in order. What is left on the Waiting List is exactly what still needs a truck, which keeps the picture honest.

What the Waiting List Is Good For on a Bad Day

The first hard freeze of the year, a holiday weekend, a storm that floods underpasses — these are the days when calls pile up faster than trucks clear. On those days, the Waiting List is your triage board. You can see which calls have been waiting longest, which ones are near each other, and which are roadside calls that a service truck can knock out quickly versus tows that need a rollback.

It also helps when you have to call customers back with honest wait times. Looking at the map, a dispatcher can tell a caller, "We have two trucks working your side of town and you're third in line," rather than guessing.

Keep the List Clean

A waiting list is only useful if it reflects reality. When a caller cancels because a friend came with jumper cables, take the call off. When a call turns out to be a duplicate — the customer and their spouse both called — merge your thinking and remove one. A Waiting List with stale pins is almost as bad as a whiteboard nobody erases.

Make it one person's job per shift to glance at the list every half hour and clear anything that is no longer real. It takes a minute and keeps the map trustworthy.

From Waiting to Scheduled to Done

The Waiting List is the first stage of a simple flow: a call comes in and waits on the map, gets assigned to a driver and truck, appears on the dispatch board in route order, gets worked in the driver app and becomes an invoice when it is complete. Each stage is visible to the office without phone calls.

If you are still running dispatch from slips and memory, the live map is usually the change dispatchers notice first. The rest of the system is laid out on the towing software page.
