Knowing Your Numbers: The Reports Every Towing Business Owner Should Check
Ask most tow company owners how the business is doing and they will tell you it is busy. Ask them what they made on roadside last month, how many calls each truck ran, or how much is sitting in unpaid invoices, and the answer gets vague.
Busy is not the same as profitable. Knowing your numbers is how you find out which parts of the business are working, which are leaking money, and where to grow next.
Why Owners Avoid the Numbers
After handling the rush on busy nights, as covered in Handling Busy Nights and Weekends in a Towing Business, it is natural to just want to sleep, not look at reports. Many owners avoid numbers because pulling them together used to mean an afternoon with a calculator and a pile of tickets.
When the calls, invoices and payments are all in one system, that afternoon becomes a few minutes. Reports pull it together for you. The only work left is looking at it and deciding what to do.
There is also a fear factor. Some owners do not look because they are afraid of what they will find. But the numbers are the same whether you look at them or not. Looking just means you get to do something about them.
Revenue by Category
The first number to know is where your money comes from. How much did light-duty tows bring in last month? Heavy-duty? Roadside? Accident and recovery? Impound and storage? Transports?
TowingBossPro sorts calls into those categories, so you can see revenue by type of work. This often surprises owners. The work that feels busiest is not always the work that pays best. The next guide digs into this in more detail.
Look at the trend, too, not just a single month. Is roadside growing while light-duty shrinks? Is storage climbing? Trends tell you where the business is heading, which matters more than where it was last month.
Calls per Truck and Driver
If you have more than one truck, you need to know how the work is split. How many calls did each truck run? How much revenue did each bring in? Are some trucks sitting idle while others run nonstop?
The dispatch board is laid out by truck and by day, so you can look back and see each truck's workload. That helps with decisions like when to add a truck, how to schedule drivers, and whether a truck is pulling its weight.
Look at it by day of the week as well. If Tuesday is always slow and Saturday is always slammed, that tells you something about scheduling, staffing and when to book transports.
Unpaid Invoices
This is the number that hurts the most to ignore. Money you earned but have not collected is not money in the bank. Look at your unpaid invoices every week. How much is out? How old is it? Which customers or accounts owe the most?
Commercial accounts in particular can build up big balances if nobody watches. Payment follow-ups can chase overdue invoices automatically, but you still need to know the total and act on the ones that are getting old.
Storage
If you run a yard, know what is in it. How many vehicles are in storage? How long have they been there? What do the storage charges add up to? Storage with a daily rate on the invoice means the charges are counted, but you still need to watch for vehicles that have been sitting too long.
Compare storage billed with storage collected. A yard full of vehicles looks like a lot of money, but vehicles that never get claimed do not pay. Knowing the difference keeps you honest about what storage actually earns.
Make It a Habit
Numbers only help if you look at them regularly. Pick a time each week, the same day and time, and check the same handful of numbers. Over a few months, you will start to see patterns: busy weeks, slow weeks, categories that are growing, customers who pay late.
That habit is what separates owners who are guessing from owners who are running the business. The guide on the 30-minute weekly review lays out a simple routine. First, let us look closer at which calls actually pay. More on reports is on the towing business software page.
Keep it short. You do not need dozens of numbers. A handful you check every week beats a big report you look at once a year. Start small, and add more only when you have a real question to answer.
